Categories
Which examinations must be registered?

The following examination performances must be registered:

  • Written examinations
  • Oral examinations

Examination performances that are not carried out within the context of a traditional lecture (e.g. research projects) do not need to be registered.

Examinations
Must examination prerequisites be registered?

No.

For examination prerequisite and lecture-related internships, no registration is required.

Examinations
How do I register for an examination?

All written and oral examinations, seminar papers, referate/presentations and experimental/practical work must be registered online via the LSF during the following periods:

In the winter semester: 15 Nov to 30 Nov
In the summer semester: 15 May to 31 May

If online registration for an examination is not available, registration must be completed by submitting the fully completed registration form within the relevant registration period by email to or by posting it in the letterbox next to the FEIT Examination Office in G10-R152. 

Performances that do not involve traditional teaching activities (e.g. research projects) do not need to be registered.

Examinations
Online examination registration is not possible. What can I do?

It may happen that online registration for individual examinations is not available.

In this case, you can alternatively submit the completed  registration form for examinations to the Examination Office by email to or by posting it in the letterbox next to the FEIT Examination Office in G10-R152.

The same registration deadlines apply to the submission of the registration form as to online registrations in the LSF.

  • Winter semester:     15 Nov to 30 Nov
  • Sommer semester: 15 May to 31 May

Registration is considered to have been completed on time if the registration form is submitted to the Examination Office within the above-mentioned deadlines. If the actual registration is not yet visible in the LSF by the deadline, this does not affect the validity of your exam registration.

Examinations
I missed the deadline for registering for the exam. What can I do?

Please inform the Examination Office immediately about the missed examination registration.

If there are plausible reasons for missing the registration deadline, an application for subsequent examination registration can be submitted. Applications are informal (no specific application form is required) and should be submitted to the Examination Office by email to or by posting them in the FEIT Examination Office letterbox (G10-R152).

Examinations
My examination, which I registered for using the registration form, is not visible in LSF?

Did you submit the registration form to the Examination Office within the usual registration period?

If so, then your examination registration was successful, even if you cannot yet see the registration in LSF.

If your exam registration is rejected for other reasons (regardless of the registration deadline), you will be informed by email by the Examination Office.

Examinations
What do I need to participation in mind when taking an examination?
  • Check that you are registered for the exam.
  • Check regularly (examination schedule and LSF) when and where your registered examinations will take place. Please note that even examination dates that have already been set may be postponed.
  • Please arrive on time for your examination (15-30 minutes early).

  • Don't forget anything! In particular, remember to bring your personal identification documents (photo ID) and any permitted work tools/aids.
  • Find out in advance which aids/resources are permitted during the examination (usually in the e-learning course or through announcements in the lectures).
  • Do not bring any unauthorised aids/tools into the examination room! Doing so could be considered an attempt at cheating and result in you failing the examination.
  • Follow the instructions of the examination supervisor.
  • If an examination that has already begun is terminated prematurely, the performance achieved up to the point of termination will be assessed.
  • Unauthorised absence from a registered examination will be graded as “failed (5.0) due to non-attendance (NE)”.
Examinations
How do I withdraw from a written or oral examination?
Written examination:
  • Withdrawal from written examinations is possible without justification up to 3 days before the examination date. Withdrawal from examinations must be done online via the LSF.
  • Withdrawals from examinations that cannot be carried out online must be made by submitting the completed withdrawal form within the above-mentioned deadline (by email to  or by posting it in the letterbox next to the FEIT Examination Office in G10-R152).

 

Oral examinations and other forms of examination:
  • Have you arranged on a specific examination date with the examiners?  -->In this case, you can withdraw from the examination without giving a reason up to 3 days before the agreed examination date online or using the withdrawal form (see above). Please also inform the examiners of your withdrawal from the examination.
  • Have you not arranged a specific examination date with the examiners? -->In this case, you do not need to deregister from the examination. The authorities will automatically initiate a withdrawal from the examination. The examiners do not need to be informed.
Examinations
What can I do if I fall ill on the day of the examination?

If you are unable to take an exam due to illness and the deadline for withdrawing from the exam has already passed, you can apply to withdraw from the exam by submitting a Medical Certificate together with an application for withdrawal from the exam.

The medical certificate and the completed application for withdrawal from the examination must be submitted to the Examination Office, by email to or by posting it in the letterbox next to the FEIT Examination Office in G10-R152.

Please note that documents must be submitted no later than 3 working days after the respective examination date.

If it is not possible to issue the medical certificate on the day of the examination, please inform the Examination Office in any case. Have the certificate issued as soon as possible. Otherwise, it is possible that the medical certificate cannot be recognised.

For oral examinations for which you have arranged a specific examination date, in addition to the above steps, you must also inform the examiners of your withdrawal from the examination.

Examinations
I failed an exam. What do I need to consider?

For each examination you fail, you have one retake.

Whether and how many further attempts at retaking exams are permitted in your degree programme, as well as the deadlines for participating in retake exams, are regulated by the study and examination regulations applicable to you under the section "Repeating examinations".

Examinations
I have doubts about the examination result. What can I do?

If you have any doubts about your exam results, you can inspect your corrected written exam within the period specified in your examination regulations.

To do so, please contact the module lecturer directly.

Examinations
I am accused of cheating on an examination. Do I have the opportunity to respond to this accusation?

If there is suspicion that you have cheated during an examination, this suspicion will be reported to the Examination Office by the examination supervisors.

The Examination Office will inform you in writing of the suspicion of cheating and the relevant facts. Once you have been informed of the subject of the suspicion of cheating, you have 14 days to respond to the allegations in writing.

If your statement clears up any suspicion of cheating, the exam will be graded normally by the examiners.

If your statement does not dispel the suspicion of deception, an attempt at deception will be officially determined. The examination will be officially graded with a 5.0 (due to deception). A corresponding notice will be issued with information on your right to appeal, which you can contest within the framework of the statutory provisions.

Examinations
I passed an examination. Is it still possible to retake it in order to improve my grade?

You can only retake an exam you've passed if the examination regulations that apply to you say it's okay.

Examinations
I am currently on leave. Can I still take examinations?

During a semester of leave, your student rights and obligations (except for voting rights) are generally suspended. This also applies to participation in examinations.

In justified exceptional cases, participation in examinations during the semester of leave may nevertheless be granted. A corresponding informal application can be submitted to the Examination Office by email to
or by posting it in the letterbox next to the FEIT Examination Office G10-R152.

You can also register or submit your final thesis during your semester of leave. However, defending your final thesis while on leave is not permitted.

Examinations
I have changed my degree programme and would like to have credits from my previous studies at OVGU recognised. What do I need to do?

If you want credits from your previous degree programme to be recognised in your new degree programme, please proceed as follows:

  • Create an overview showing which credits from the old degree programme are to be transferred to the new degree programme. If necessary (because the modules in the old and new degree programmes are not identical), also indicate which modules in the new degree programme correspond to them.
  • Put you together the necessary documents to be submitted --> Module descriptions of the services already rendered and your current grade overview.
  • Please submit the above documents as an informal application to the Examination Office by email to .

If you wish, you can use the corresponding application form from our form pool as an assistance.

Please note:

Recognition for credits earned during the transition from the Bachelor's programme in Medical Technology to the Master's programme in Medical Systems Engineering must be applied for separately using the form „Application for recognition of credits for the Medical Systems Engineering programme starting in the 2021 summer semester”.

This procedure is not necessary for examinations taken during a bachelor's degree programme that are part of a master's degree programme. These credits are usually automatically transferred (or, if necessary, after consultation with you) from the additional area of the Bachelor's programme to the Master's programme.

Recognition of examination achievements
I studied at another German/European university and would like to have my credits from that programme recognised. What do I need to do?

If you have already completed a module that is required according to the examination schedule at another university, you can apply for recognition of the module.

To do this, please formulate an informal application for recognition, stating which credits you have already earned and for which module of your current degree programme they should be recognised.

As an alternative to the informal application for recognition, you can use the form „Application for recognition of examination results“ to apply.

In both cases, please enclose a module description of the credits already earned and a transcript of records with your application.

Recognition of examination achievements
How can I obtain proof of my study achievements to date?

Your transcript of records is available for download as a PDF file on the LSF portal at any time. This transcript of records is valid without a signature.

Do you require a transcript of records confirmed by signature/stamp? You can obtain this on request from the examination office of your faculty or from the Campus Welcome Centre.

Both versions of the transcript of records contain the current status of your right to examination and can therefore be used as a certificate of non-objection (in german Unbedenklichkeitsbescheinigung).

I need a certificate of non-objection. Where can I obtain one?

Certificate of non-objection standing provide information about your current examination entitlement in the degree programme you are enrolled in.

Information regarding harmlessness is generally included on every OVGU transcript of records. Separate certificate of non-objection are therefore not issued. Instead, the transcript of records serves as such.

My transcript of records is incorrect. What can I do?

If you notice any errors in your LSF account and/or on your transcript of records, please contact the examination office of your faculty (FEIT examination office, preferably by email at ).

How do I register my final thesis?

Have you found a topic and examiner/supervisor for your final thesis and formulated the task definition accordingly? The next step is to officially register your thesis in the Examination Office. To do so, please follow these steps:

  • Select the appropriate task definition form for your degree programme from the examination office's form pool and adapt it to suit your topic.
  • In consultation with your (first/second) examiner/supervisor, determine when you should begin working on your final thesis and enter the start date on the form. The submission date is calculated based on the processing time specified in your examination regulations. If you are unsure about the date of submission, please leave this field blank.
  • The signature field for the chair of the examination board remains blank.
  • Your first examiner will now sign the task definition and submit it to the Examination Office for official registration.
  • The Examination Office will now check all formal requirements relating to the registration of your final thesis. If there are any queries, you and/or your examiner/supervisor will be contacted by the Examination Office to clarify the matter.
  • If there are no queries following the formal review of your registration, your thesis will be recorded and will be visible to you in LSF from that point onwards.
  • The Examination Office will now obtain the signature of the chair of the examination board on the task definition form. The final document containing the task definition will then be sent to you and all examiners/supervisors by email. This may take some time, but it does not affect the previous registration of the final thesis.
  • Check the information on the final task definition carefully once again. Please note in particular the specified submission date for your final thesis (if you do not submit your final thesis on time, it will be graded as "unsatisfactory"). If there are any discrepancies, please contact the Examination Office.
  • The scanned version of your task definition sent to you by the Examination Office must be later included in both printed copies of your final thesis. Therefore, please keep the email in a safe place.

Can I write my final thesis outside the university?

Yes, that is possible.

It should be noted that the first examiner must always be a professor or person authorised to conduct examinations from the OVGU. This person must belong to a faculty at OVGU that is authorised to issue assignments in your degree programme (for more details, please refer to the examination regulations -aSPO- that apply to you). Second examiners may also be external persons from the company/research institution, provided they have the necessary qualifications (proof of qualifications can be requested if necessary).

The final thesis is registered in the same way as for theses produced internally at OVGU.

If necessary, details regarding restrictions and non-disclosure agreements will be agreed upon individually within the scope of all relevant possibilities.

How should the final thesis be written?

Information on the layout of final theses can be found in the faculty's layout guidelines. Please also note any comments and remarks you receive from your examiners/supervisors.

The final thesis must be submitted in duplicate, bound (no ring binding) and in digital form (e.g. USB stick, CD or as a PDF file sent by email to the first and second examiners).

The bound copies must each contain the task definition signed by the initial examiner and the chair of the examination board, as well as a declaration of independence signed by you.

Where can I submit my final thesis?

Please check again before submitting:

  • Have you signed both copies of the declaration of independence?
  • Have you included the document containing the task definition that you received by email from the Examination Office in the copies of your final thesis submitting?

If so, you have the following options for submitting the two bound copies of your final thesis:

Examination Office (green arrow)

Submission can be made to the examination office of your faculty.

You can use the appointment booking system for the FEIT Examination Office. Alternatively, individual appointments can be made with staff members at any time.

Campus Welcome Center (beige arrow)

You can submit your thesis at any time during opening hours at the Welcome Desk of the Campus Welcome Centre. No appointment is necessary.

Red letterbox in front of Building 09 (red arrow)

Theses can be submitted at any time, regardless of opening hours, without making an appointment, by placing them in the red letterbox in front of Building 09 (Security/Information Service) on the OVGU Campus at Universitätsplatz 2.

The letterbox is emptied at regular intervals to ensure that your final thesis is submitted on time.

The documents you submit will be forwarded to the relevant processing departments. Therefore, please submit your final thesis in an envelope addressed to the “FEIT Examination Office”.

How much time do I have to write on my final thesis?

The general duration of the processing period available for your degree programme/degree is specified in the examination regulations applicable to you.

Your individual start date for the processing period (and the resulting submission date) will be determined by agreement between you and your examiners/supervisors before you officially register your final thesis.

The processing period will be noted on your task definition and confirmed by the examination board.

If the submission deadline falls on a weekend or public holiday, the next working day is the last possible submission deadline.

I won't be able to finish my thesis by the submission deadline. What can I do?

If the processing period specified in the examination regulations is not sufficient to complete your thesis, you can apply for an extension of the submission deadline under certain conditions. The following conditions may justify the granting of an extension:

  • You fell ill during the processing period. The processing period will be extended for the duration of your illness (up to a maximum of 4 weeks) if you can provide proof of this in the form of a medical certificate. Please refer to the examination regulation applicable to you for deviating regulations in the event of prolonged illness.
  • During the processing period, circumstances arose that were beyond your control and delayed the processing of your final thesis. Such circumstances may include, for example, unforeseeable defects/unavailability of equipment/devices/laboratories, delays in the delivery of required materials, or unplanned absences of your supervisors.

Apply for an extension by submitting the appropriate application form, which includes both your reasons for requesting an extension and a corresponding statement from your first examinar. If necessary, please enclose relevant supporting documents with your application.

The maximum possible duration of an extension is regulated in the examination regulation applicable to you.

Make sure that your application is received by the Examination Office at least 7 calendar days before the deadline set at that time. If the reasons for an extension arise after the 7-day period has expired, submit the application immediately after becoming aware of the circumstances.

Applications should be submitted to the FEIT Examination Office by email to or by putting them in the letterbox next to the FEIT Examination Office in G10-R152.

I will not defend my final thesis until next semester. What do I need to bear in mind?

The prerequisite for conducting the defence is that you are correctly matriculated at OVGU.

So make sure that you have re-registered for the semester in which your defence is to take place. This also applies if it is your last academic achievement to be completed.

What is compensation for disadvantages in studies and examinations?

Disadvantage compensation is a form of compensation for disadvantages that students experience due to various impairments. The aim is to ensure equal opportunities for students with disabilities.

Possible measures to compensate for disadvantages depend on the type and severity of the disability and are determined on an individual basis. For example, adjustments can be made to the form and duration of examinations or to the aids required in examinations. In addition, agreements on individual study pathways or the provision of barrier-free accesses are also conceivable.

Compensation for disadvantages must be applied for in good time before the planned use (see also the question: How do I apply for compensation for disadvantages?).

You can also take advantage of the counselling services available at OVGU.

Disadvantage compensation
How do I apply for compensation for disadvantages?

To apply for compensation for disadvantages, it is necessary to explain the impairments to be compensated and to provide medical evidence to support this. Furthermore, you must formulate the measures you desire to compensate for the disadvantage.

If necessary, you can seek assistance from your  academic advisor or the Examination Office. In addition, you will find further advisory service offered by OVGU here.

Once you have completed your application and compiled the necessary supporting documents, submit the documents to the FEIT Examination Office, either by email to or by posting them in the letterbox next to the FEIT Examination Office in G10-R152.

Please note that you must submit your application in good time before you plan to take advantage of the measures.

Disadvantage compensation
How do I register my industrial internship?

Industrial internships do not need to be registered in advance.

If you have any questions about the internship or the subsequent recognition of your internship performance before starting your internship, please contact your academic advisor.

Internship
I have completed my industrial internship. What should I do next?

After completing your industrial internship, you must write a report on the activities you carried out during the internship.

Furthermore, your internship must be confirmed by the internship company in the form of a completed internship proof.

The report and proof must then be submitted by email to your academic advisor or to the FEIT Examination Office (by email to or by posting it in the letterbox next to the FEIT Examination Office in G10-R152).

Information on completing the internship and writing the report can be found in the internship regulations for your degree programme. If you have any further questions in this regard, please contact your academic advisor directly.

How long do I have to submit my internship report to the Examination Office?

The deadline for submitting the internship report and the completed “Internship Proof” form is usually six months.

My internship regulations include a sample contract. Is it mandatory to use this?

No.

Any other internship contract provided by the company can also be used.

Companies that do not use their own internship contracts can use the sample contract provided.

I have defended my final thesis. What do I need to do now, and when will I receive my certificate?

Once you have successfully completed your defence (colloquium), you do not need to do anything else. The following steps will be initiated automatically by the relevant authorities.

Once the Examination Office has received notification of the assessment of your final thesis, the certificate documents are usually issued within four weeks.

As soon as your certificate documents are complete, the Examination Office will notify you by email.

How do I get my certificate?

As soon as your certificate documents are complete and ready for you to collect, the Examination Office will notify you by email.

The following options are available for receiving the documents:

  • Personal collection at the Examination Office (by appointment or individual arrangement)
  • Collection by a person authorised by you – documents will only be handed over upon presentation of a corresponding power of attorney and identification document – (by appointment or individual arrangement)
  • by post (please submit a DIN A4 envelope stamped with €6.65 postage and addressed to your current address to the Examination Office)
Certificate
My certificate is not yet available, but I need proof of my degree as soon as possible. Is that possible?

Yes, the Examination Office will issue you with a provisional degree certificate upon request to .

This can be used as proof of your degree to all requesting parties until you receive your degree certificate.

Certificate
Is it possible to take a module as an elective compulsory module that is not listed in the elective compulsory catalogue?

You can take modules outside your elective compulsory catalogue at any time, which can be included in your grade overview as additional achievements without being credited with CPs.

If you are taking a module that is not listed and wish to have it credited towards your elective compulsory area, you must apply for this. To do so, please write an informal application explaining why this module should be credited to you and submit it by email to or by posting it in the letterbox next to the FEIT Examination Office in G10-R152.

If you would like to find out about the chances of your chosen module being recognised before submitting your request, please ask your academic advisor or your Examination Office.

Miscellaneous
I have achieved more than the required CP in the elective compulsory area. What happens to the modules I have taken too much of?

Any surplus CPs from your elective compulsory area will automatically be moved to the “additional achievements” area at the end of your studies. The highest-rated modules remain in the elective compulsory area, while lower-rated modules are transferred to the additional area.

If you have any preferences regarding the postponement of modules, please inform the Examination Office. Otherwise, the distribution will be carried out according to the above procedure.

Can I already complete Master's degree modules during my Bachelor's degree?

Yes, you can already complete modules and examinations from the subsequent Master's degree programme during your Bachelor's degree programme. Where applicable, the examination regulations applicable to you will determine the extent to which this service provision is permitted.

Examination registrations for these modules will initially appear in your additional area. After enrolment in the Master's degree programme, the credits earned will be transferred there.

Please note that the transfer will also take place if you fail the examination or in the event of a failed attempt due to unexcused absence.

I have finally not passed my studies. What does this mean for me?

If you have definitively failed your degree programme, you may not continue studying this programme at OVGU. Likewise, you may no longer study the same degree programme at another university.

However, it is possible to enrol in a new degree programme in a similar/related field or in a completely different field. This is possible both at OVGU and at other universities. Credits already earned from the degree programme that you have failed may, under certain circumstances, be recognised in your new degree programme. To explore this possibility, we recommend that you schedule a consultation with the relevant academic advisor.

I would like to spend a semester abroad. Is this possible?

Yes, completing a semester abroad is not only possible but often desirable.

There are many different ways to study abroad. To find the right path for you, please contact the International Office at OVGU. There you can find out everything you need to know about planning and organising your potential semester abroad, as well as available scholarship programmes.

It is also possible to have academic achievements completed abroad recognised. This requires a learning agreement to be agreed upon before the start of the semester abroad. You can obtain all the necessary information during a consultation with the International Office.
